Overview
In this tutorial, we will demonstrate how to perform bulk updates on student enrolments. This comprehensive walkthrough includes detailed steps on how to update or change the values initially set in the enrolment fields of your student records. By following this guide, you will learn how to efficiently manage multiple student enrolments at once, saving time and ensuring accuracy in your data management processes. We'll cover everything from selecting the relevant records to applying the necessary changes, making you well-equipped in handling your administrative tasks.
NOTE: You need Admin access before you can perform this action.
Step Tutorial
1. From the sidebar menu, go to Reports and navigate to Enrolment.
2. If you have an existing report template which has the student enrolments that you would like to update, select the report from the drop-down list. Otherwise, you can leave this as blank.
3. Set a parameter from the range filter to extract and display the student enrolment data. You can use any of the following filters:
- Start To From Range - relates to Start Date From and Start Date To
- End To From Range - relates to End Date From and End Date To
- Start From To End Range - relates to Start Date From and End Date To
4. You can also use any of the following filters together with the above range filters if applicable:
- Min % Complete
- Max % Completed
- Min % Attendance
- Max % Attendance
- USI Status
- Enrolment Status Type
- Enrolment Status; and
- Qualification Issued
You can also tick the Include Avetmiss Fields and Only Unique Enrolments fields, if needed.
In our example, we set the Start To From Range to This Calendar Year as we would like to cover student enrolments has started this calendar year. We also filter the Enrolment Status to Application Received. Then click Search.
You can use the inline filters to narrow down the report. After adding inline filters, click Search to extract data.
7. Select student enrolments by manually checking the checkboxes for each student. Alternatively, you can check the box in the header to select all students at once. Then scroll up and click Bulk Update.
9. From the drop down, select the field that you need to bulk update. Click Add Fields if you want to add another value. You can add more fields if needed. Finally, click Update.
IMPORTANT: Updating the Enrolment Status from Application Received to Enrolled through Bulk Update will not immediately export and enrol the students in the LMS. A scheduled task will run overnight to create their LMS user profile and send their LMS login details. If you require that students must be enrolled immediately, you need to change their enrolment status from student enrolments.
