How to Create a Task Workflow in the SMS

Idea
Overview
In this tutorial, we’ll discuss how to automate tasks within the SMS for each program instance. Tasks can be automated for every enrolment status and assigned to users in the organisation. This ensures that nothing is overlooked in the processes and procedures.

IMPORTANT: Task Templates must be set up beforehand. Please refer to this tutorial: How to Create Task Templates in the SMS.

Step Tutorial
1. From the Dashboard, go to Programs, then Program Instances.


 
2. From the drop-down menu, select the program instance we want to add a task workflow to, go to Workflows, then go to Task Workflows.


 
3. Click on the "New" button to begin adding a new task workflow.


 
4. Fill out the necessary fields by selecting from the dropdown or typing in the desired value.


a. Enrolment Status - This will trigger the automatic creation of the task. Users assigned in the Task Template will automatically receive the task (e.g., Application Received, Application Rejected, and Application Approved).
b. Templates - These are task templates we have pre-set under the Templates section (Administration -> Templates -> Task Templates).

NOTE: We can use multiple templates.
c. Due Dates in x Days - Set the number of days by which the task needs to be completed (e.g., 1, 2, and so on).
5. Once done, click the "Save" button.



And that is how we can automate tasks within the SMS for each program instance.
