How to Create and Apply Vouchers

Overview

In the Student Management System (SMS), users can create vouchers to distribute to students or utilise additional functionality, such as the auto-application of vouchers, providing flexibility in offering discounts on training fees.

In this tutorial, we will demonstrate how to create and apply vouchers to offer discounts or promotional rates to students to encourage enrolment and enhance student satisfaction.

Creating a Voucher in the SMS

1. From the sidebar menu, go to Finance > Vouchers > then click New


2. Complete the information required in the New Voucher modal.

  • Name - Enter a descriptive name for your voucher.
  • Code - Enter a code for your voucher. This is the code entered in the voucher field in the payment stage. 
  • $ or % - Select if the voucher will discount with a fixed rate amount ($) or a percentage (%) amount. The option selected here will determine the data recorded in the Amount field.
  • Amount - Enter the amount of discount.
  • Expiry Date - indicate an expiry date for your voucher. The voucher will only be valid or accepted until the expiry data. This field may be left blank if you do not want to impose an expiry to a voucher. 
  • Domain Specific - When an email domain is entered, only students that uses that specific domain in their enrolment forms will be qualified to use the voucher (e.g. if the entered domain is xyz.com, only students with the @xyz.com email address will be able to use the voucher). This field may be left blank if the voucher can be used by anyone with different email domains. 
  • Program - Select the program/s eligible for the voucher to be applied. This field may be left blank if you do not want to limit your vouchers to certain program/s. 

Once done, click Save.

Applying a Voucher During Payments

During enrolment, when students go through the payment stage, a field to enter and redeem vouchers is available. 

1. To use a voucher, enter the Voucher Code in the field after the Course cost and before the payment confirmation. 


WarningIMPORTANT: Voucher codes are case-sensitive and must be an exact match. 

2. Click Redeem to apply the Voucher. 

3. Confirm payment details and click Pay or Pay Later


Auto Apply Vouchers Based on Email Domain

There may be instances when vouchers are specific to a subset of your students, such as when you have partnered with their employers to provide training at a discounted price. 

In these cases, instead of providing voucher codes, users can set up the vouchers using an email domain. When this is set up, any student enroling in the course with an email address matching the email domain specified for the voucher will automatically have the voucher applied. 

During the payment stage in the Enrolment form, the SMS will check if the following conditions are true: 

  1. Domain Specific: Email address domain match
  2. Expiry Date: Not expired
  3. Program: Student is enroling in one of the programs listed in the voucher, if any. 

If the above conditions are met, the voucher will be automatically added in the Voucher field, and fees will be calculated with the discount applied.  

This feature makes it easier to apply vouchers for specific company email domains. 

WarningIMPORTANT: Using domain-specific voucher will automatically apply it. Be careful when adding a generic or common email domains. 


Limit Voucher Use Based on Programs

If you would like to restrict the use of your vouchers to specific programs, the Program field allows you to select which program(s) are eligible for a voucher to be applied. This provides you with flexibility and control over your voucher conditions. If a student enters a voucher code for enrolment in a program that is not included in the list, the voucher will not be applicable.
