How to Create Bulk Certificates

OVERVIEW

Issuing Certificates can be a tedious process especially if you are sending to multiple students. The Student Management System allows you to save time in sending certificates through different methods. One of which is the Bulk Certificate creation. 

In this tutorial, we will walk you through how to create and issue Certificates/SOA/Unaccredited Certificates to multiple students using the Bulk Certificate function in the Student Management System. This function will run a check for all students that have completed their courses, and the system will create Certificates for these students which the administrator can either email directly to students or download for printing.

IMPORTANT
Before proceeding with the tutorial, you have to take note of the conditions for each document to be created:
  • Certificate
    • Enrolment Status is Completed
    • Related Program settings where Qualification OR Accredited Course is toggled ON AND is Nationally Recognised Training.
  • Unaccredited Certificate
    • Enrolment Status is Completed.
    • Related Program is set to Non-Accredited Course.
  • Statement of Attainment
    • Completed at least 1 Student Unit.
    • Enrolment Status is Completed.
    • Related Program settings where Qualification OR Accredited Course is toggled OFF but is Nationally Recognised Training.

Step Tutorial:
1. Login to your SMS and go to Reports
2. Go to Certificate
3. Click on the Create Bulk Certificates sub-tab
4. Select the type of Certificate you want to bulk create. You may also select the specific Program, Program Instance, and/or Group to help narrow down the results.



5. Click Run.




Let us do a demonstration. We will search for all students who completed the HLTAID012 program. We will use the Program filter to search for HLTAID.




Follow the steps below:

6. Select the students you want to include in the bulk certificate creation. Otherwise, you can also tick the box on top to select all. 




7. Click Bulk Certificate Creation.




8. There are two (2) ways to create bulk Certificates:
  1. Download the Certificates. Selecting download will download a PDF copy of the Certificates into your local device which you can print and provide to your students.
  2. Email the Certificates. If you choose to email, another window will open for you to create your email template.
For this demo, select Email.




9. Click Submit.




10. You can choose to create your email from scratch or use one of the available templates from the Custom Templates.
11. Once you've created your email and ready to send the Certificates, click Send Email.
