How to Generate TAMS Report

How to Generate TAMS Report

Idea
Overview
A TAMS (Training Activity Management System) Report in a Student Management System (SMS) provides detailed information about a student’s training activities, including enrolments, completions, attendance, results, and progress across courses or units.

These reports are commonly used in the Vocational Education and Training (VET) sector and help Registered Training Organisations (RTOs) to:
  1. Track compliance with training requirements
  2. Monitor student progress and outcomes
  3. Support funding claims and audits
  4. Assist academic and administrative decision-making
The report typically includes data such as course codes, unit/module status, delivery modes, outcome codes, and training dates.

In this tutorial, we'll guide you through the process of generating this report in the SMS.

InfoNOTE: This report is a unique requirement for WA state-funded training and is not applicable in other states.

Notes
Step Tutorial
1. From the sidebar menu, go to Administration > Settings.

2. In the Details tab, click the TAMS Report button.

The Generate TAMS Report Files modal will appear.

3. In the modal window, select the Start Date and End Date for the report you want to export. Then, click the Export button.

A TAMS Report zipped folder will be saved to your local drive. The folder will contain two (2) tab-delimited text documents: one for Enrolment and one for Student. Both documents contain relevant information about the students and their enrolments.

FAQs
What is TAMS reporting in Western Australia (WA)?
TAMS reporting refers to the electronic submission of student and enrolment data to the WA Department of Training and Workforce Development (DTWD) via the TAMS RTO Portal. It is required for RTOs delivering training under the Jobs & Skills WA program and is essential for claiming funding through Contracted Programs of Study (CPS).

Two key files are submitted:
  1. Student File – Lists student details not already registered in WAAMS (used for apprenticeships/traineeships).
  2. Enrolment File – Contains enrolment and training activity details. Submitted monthly.
Both files must be in plain-text, tab-delimited format.
What does "tab-delimited" mean when exporting a TAMS report?
A tab-delimited file is a plain text file where each data field is separated by a tab character. This format is commonly used for structured data exports (like TAMS reports) and can be opened in applications like Excel.
Can I regenerate a TAMS Report if I make changes to student records?
Yes. If you’ve made updates to student details or enrolment records, you can re-generate the TAMS Report by repeating the export process.
