Overview
The Trainer Portal in the SMS simplifies the process of generating a Units Report, enabling trainers to access detailed information about the units their students are enrolled in. This report provides insights into unit-specific details such as unit names, progress statuses, completion dates, and student performance. It serves as an essential tool for trainers to effectively monitor and manage student progress while ensuring compliance with reporting requirements.
This reporting feature is designed to be user-friendly and highly customisable, allowing trainers to access the exact data they need. By utilising this functionality, trainers can track unit-level progress, identify areas where students may require additional support, and maintain accurate records for audits or compliance purposes.
Step Tutorial
1. From the Dashboard, navigate to Reports, then Units, and click the New button to create a new report.
NOTE: If you have previously created and saved a report, you can select it from the dropdown menu beside it and reuse it.
2. Enter the report name and/or set it as the default. Once set as default, the system will automatically select this template from the dropdown menu. Once completed, click the Save button.
3. A confirmation message about the creation of the new report will appear. Click OK to close it.
4. Ensure the correct template is selected before making any changes.
5. Select or use filters to narrow down the selection, ensuring that the specific conditions are targeted:
- Start To From Range - Filters units based on their start date, capturing units that began within a specified date range.
- End To From Range - Filters units by their end date, showing units that concluded within a specific date range.
- Start From End To Range - Combines start and end date filters to include units that both started and ended within a specific timeframe.
- Outcome - Filters units based on their outcomes, such as completed, not completed, or other result statuses.
- Min % Complete - Displays units where students have achieved at least the specified minimum percentage of completion.
- Max % Complete - Displays units where students have completed no more than the specified maximum percentage.
- Include Avetmiss Fields - Adds AVETMISS-specific data fields to the report to meet compliance and reporting standards.
Click the Search button to start searching.
6. You should now see the list of students and their units’ information. You can also:
- Change the value of Results per Page to view more entries.
- Use the search bar in the column header if you want to find a specific value.
- Use the Export button in the upper right of the enrolment report module to download an Excel file of the report's results.
7. Once completed, click the Save button to save the changes made, so they can be used in the next report generation.
