How to Issue a Statement of Attainment in the SMS
Overview
A Statement of Attainment in the Vocational Education and Training (VET) industry is an official document that acknowledges the completion of one or more accredited units, but not a full qualification. It serves as proof that an individual has achieved specific competencies or subjects within the Australian Qualifications Framework (AQF). The Statement of Attainment is crucial as it allows individuals to receive recognition for partial completion of a course, which can be used for employment, further education, or licensing purposes.
This tutorial will guide users on how to issue a Statement of Attainment to a student.
Step Tutorial
Issuing Statement of Attainment
- To issue a Statement of Attainment, go to Students and select the specific student from the drop-down list. Go to the Enrolments tab.
- Select the actual enrolment by ticking the checkbox. If the selected enrolment has any Units of Competencies with final outcomes, a Statement of Attainment can be issued and the button for Statement of Attainment will display above the Enrolments table.
Preview a Statement of Attainment prior to Issuance
If users would like to preview the Statement of Attainment before issuing or downloading a copy, click on the Preview Statement of Attainment button.
This will download a copy of the Statement, with all the students details except the SOA Number will display as
PREVIEW.
Download and Print a Statement of Attainment
To issue a physical copy of the Statement of Attainment, users can download a copy of the Statement ready for printing. To do this, click on the Statement of Attainment button.
This will download a copy of the Statement of Attainment similar to the Preview version, with the SOA number already filled with the actual number.
Email a Statement of Attainment
Users also have the option to directly email a copy of the Statement of Attainment to a student, providing students a copy of their SOA as an email attachment.
- To issue the SOA via email, click on the Action button. Click Email.
- This will open the Send email window. Users can compose a new message or use custom email templates if available. Complete the following fields:
- Subject Title - enter the Email subject in the subject field.
- Carbon Copy field - enter an email address in the carbon copy field to send a copy of the email to other required recipients. Leave blank if not required.
- Issue Parchment - select the tickbox for the Statement of Attainment to issue the SOA. This field will display as Re-issue Parchment if the parchment has already been downloaded prior to the email. Ticking this box will include the SOA as an attachment in the email.
- Message body text box - compose the body of the email message.
- Attach Files - attach additional files if needed.
- Send Email - select Send Email to send the email or Preview to check the email.
Once the email has been sent, a copy of the email will also appear in the Notes tab, available for viewing or resending.
Statement of Attainment can also be issued using the Automate Certificate Creation and the Bulk Certificate functions in the SMS. To learn more about these features, visit our related tutorials
