How to Relate Tasks to Groups in the SMS

Overview
This tutorial explains how to associate tasks with specific Student Groups or Intakes within the Student Management System (SMS). By linking tasks to groups, you can streamline task organisation, ensure accountability, and improve workflow efficiency.

NOTE:
  1. Required SMS Access:  Admin
  2. The Student Group / Intake must be added.
  3. If you prefer to use a Task Template, it must be set up from the Task Templates library.

NotesStep Tutorial

1. From the sidebar menu, go to Schedule Student Groups/Intakes > search and select the student group from the drop-down menu > click Tasks > then Add Task.


A pop-up window will appear.

2. Fill out the following fields:
  1. Template - If you prefer to use an existing task template, select from the drop-down menu and it will auto-populate the details of the selected template. Otherwise, keep this field blank and fill out the remaining fields.
  2. Title - Enter a title for the task. In our example below we have created a task for the trainer of this specific group. 
  3. Description - Put a short description of the task.
  4. Checklist - If you would like to use a checklist for the task, select one from drop-down menu. This is optional.
  5. Due Date - Set a due date for the task indicating the specific date by which it must be completed. This ensures clarity and accountability regarding the task's deadline.
  6. Assigning Administration - If you need to select specific user/s responsible for completing the task within the organisation, use the Assign Users field. Otherwise, you can use the Assign Organisational Units to fulfill the task related to the selected group.
  7. All Individuals Must Complete - Enable this field if you assign multiple users to complete the task and all must complete.
Once done, click Add.


That's it! You've successfully related tasks to groups in the SMS.
