
Overview
Sending an email to a student via the Trainer Portal allows trainers to directly communicate with students within the Student Management System (SMS). This feature provides a streamlined and secure way for trainers to send personalised messages, such as course updates, feedback, or reminders. It helps ensure that important communications are efficiently sent without leaving the system, reducing the risk of missing critical interactions or using external email platforms.
The email functionality within the Trainer Portal enhances the relationship between trainers and students by maintaining clear, timely communication. It supports effective learning environments by allowing trainers to address individual student needs and share relevant information in a professional manner. By using this built-in email feature, training organisations can improve administrative efficiency, maintain organised records of communications, and ensure compliance with privacy and data protection standards.

Step Tutorial
1. From the Dashboard, go to Students, select a student from the dropdown list, navigate to the Notes tab, then click the Email button.
2. Add details to the following fields:
- Subject - The title or main topic of the email, summarising the purpose of the message.
- CC - A field to add additional recipients who will receive a copy of the email, visible to all recipients.
- Email Body - The main content of the email, where the message is written.
- Attach Files - A feature to upload and attach documents or files to the email for the recipient’s reference.
Once finished, click the Send Email button.

NOTE: You can also generate a preview of the message by clicking on the Preview button before sending it.
3. A prompt confirming the successful sending of the email will appear. Click OK to close it.
4. The recently sent email will also be available in the list.
