How to Update Student Details via Company Portal
Overview
The Company Portal is a straightforward process that allows administrators to ensure that the information within the SMS remains accurate and up to date. The portal provides an intuitive interface for accessing and managing a student’s personal data. This feature is essential for maintaining accurate records, whether for compliance, communication, or reporting purposes.
In the Company Portal, authorised users can modify various fields. These updates help facilitate seamless interactions between the student and the educational institution, enabling administrators to track any changes that might affect a student's learning journey. Regular updates are crucial for meeting regulatory requirements and ensuring that all communication and documentation reflect the current status of each student.
Step Tutorial
1. From the Dashboard, navigate to Students, select a student from the dropdown, and then proceed to the Details tab.
2. You can now start editing the student's details. The following fields can be found on this page:
General Information
- Title - The formal title (e.g., Mr, Mrs, Dr) used to address the student.
- Preferred Name - The name the student prefers to be called, if different from their legal name.
- First Name - The student’s given name.
- Middle Name - The student’s middle name(s), if applicable.
- Surname - The student’s family name or last name.
- Date of Birth - The student’s birthdate, used for age verification and identification.
- Gender - The student’s gender, as identified by them.
- Country of Birth - The country where the student was born.
- Home Number - The student’s landline phone number at home.
- Mobile Number - The student’s personal mobile phone number.
- Work Number - The student’s phone number for work-related contact, if applicable.
- International Number - A phone number in international format, if the student is based overseas.
- Allow Blank Email - An option to allow students to have no email address on file.
- Email Address - The student’s primary email address for communication.
- Alternative Email Address - A secondary email address, if the student has one.
- International Student - Indicates whether the student is an international student.
- Reset System Password - Option to reset the student’s account password in the system.
- Enrolment Conditions - Specific conditions tied to the student’s enrolment, such as prerequisites or program-specific requirements.
Additional Information
- Unique Student Identifier - A unique identification number assigned to the student by the Australian government for record-keeping and tracking purposes.
- Previous Student Number - A former student ID number, if applicable.
- Important Notes - Notes about the student, including any special considerations or relevant information.
Overseas Address
- Property Name - The name of the property or building, if applicable, for the overseas address.
- Flat Number - The flat or apartment number, if the student lives in one.
- Street Number - The street number of the student’s overseas address.
- Street Name - The street name for the student’s overseas address.
- Suburb - The suburb or locality where the student resides overseas.
- Postcode - The postcode for the student’s overseas address.
- State - The state or province in which the student lives overseas.
- Country - The country of the student’s overseas address.
Australian Address
- Australian Property Name - The name of the property or building in Australia, if applicable.
- Australian Flat Number - The flat or apartment number in Australia, if applicable.
- Australian Street Number - The street number for the student’s Australian address.
- Australian Street Name - The street name for the student’s Australian address.
- Australian Postal Box - The postal box number for the student’s Australian address.
- Australian Suburb - The suburb or locality in Australia where the student resides.
- Australian Postcode - The postcode for the student’s Australian address.
- Australian State - The state or territory in Australia where the student resides.
Emergency Contact Details
- Emergency Contact's Name - The name of the person to contact in case of an emergency.
- Emergency Contact's Relationship - The relationship of the emergency contact to the student (e.g., parent, friend, spouse).
- Emergency Contact's Email - The email address of the emergency contact.
- Emergency Contact's Mobile Phone - The mobile phone number of the emergency contact.
Other Details
- Survey Contact Status - Indicates whether the student has been contacted for surveys or feedback.
- Learner Survey Completed - Indicates whether the student has completed a learner survey.
- Referral Source - The method by which the student was referred to the institution (e.g., online, word-of-mouth, agent).
IMPORTANT: When editing the required fields, ensure all information is correct before submitting the updates.
3. Once you have finished the modification, scroll up and click the Update button beside the dropdown.
