How to Use the SMS Dashboard

Overview

The SMS Dashboard displays the most essential data relevant to your organisation. In this tutorial, we will walk you through the interactive graphs and how you can utilise them to get more detailed information.

Enrolments Dashboard

On the first tab you will see the Enrolments Dashboard. This will show you data relevant to enrolments. 




You may filter the date range of your Dashboard information by clicking on the data range field on the upper right corner of the Dashboard. Select your preferred data range for the charts. 




The upper portion of the Dashboard has widgets that contain information based on the label below. These information updates based on enrolments or program completion.
Note: This portion of the Dashboard is not affected by the date filter



Units Completed This Year - include units with the current year as the end/completion date, and where the completed unit outcomes are:
  • Competency achieved/pass
  • Recognition of prior learning granted
  • Recognition of Current Competency Granted
  • Credit transfer/national recognition
  • Non-assessable enrolment - satisfactorily completed

There are multiple charts available in the Dashboard.
You can see which of your programs have the highest number of enrolments on the Enrolments by Programs.



You can also see data on Program Instances in the Enrolments by Program Instance



Dashboard Reports – Data Referenced

Enrolments by Program- For the selected date range, shows how many students are enrolled in each Program.
- A Program defines the qualification or course structure, including the units and requirements associated with the program. Click here more information on Programs in the SMS 
Enrolments by Program Instance- For the selected date range, shows how many students are enrolled in each Program Instance.
- A Program Instance is a specific delivery instance of a Program, used to manage its delivery, duration, fees, enrolments, and payments, etc. Click here more information on Program Instances in the SMS
Units Complete by Unit End Date- For the selected date range, shows the percentage of units completed before or on their Unit Proposed End Date.
- The Unit Actual End Date records when the unit was actually completed and is compared against the proposed end date to determine whether it was completed on time.
% of Units Not Completed by Proposed End Date- For the selected date range, shows the percentage of units completed after their Unit Proposed End Date.
- The Unit Proposed End Date is the expected date by which the unit should be completed, and the Unit Actual End Date is used to determine whether it was completed on time or after the proposed date.
Students with attendance <90%- For the selected date range, shows students who have attended less than 90% of scheduled events associated with their enrolment.
- Events are scheduled activities associated with a student group, while attendance marking records whether students attended those events. Click here more information on Events and Attendance Marking in the SMS


Another useful Information in the Dashboard is the Unit Completion status. You can see which units are not yet complete by their end dates. 



Information on Students at Risk is also available in the Dashboard. These show which programs have low completion activity versus the remaining time to complete. 





You can also see graphs for Students Attendance on different programs, grouped based on less than 90%, 80% or 60% attendance. 



With Unique Student Enrolments, you can also see your annual allocation. 




Click the arrow beside the year button to view the data from the previous years. 



You can also monitor if you're still within or if you have exceeded your annual allocation for student enrolment



The charts are also interactive. You can hover your mouse on the items and once you see the arrow pointer change to a crosshair 



you can left click on the bar graph above to open a data table as seen below.

      a. Clicking on a Column Header title will allow you to sort the column in ascending or descending order. 



You can also export the data in each section to an Excel file by clicking Export


Financial Performance 

Your Dashboard also includes charts that show your Financial Performance.

Here you can see your total Revenue in daily, weekly or monthly basis. 



Clicking on the markers of the line graph will show a data table that contains the breakdown of your program fees.



In this page, You can also see your Revenue by Program and your Revenue by Program Instance.
There is also a graph for your Projected Payment Plan Revenue. This contains information based on your enrolments and payment plans setup. 



Click on a data point in the graph to show a window with a breakdown for that specific month 



You can also view your Revenue by location, providing insights into the revenue generated from each specific area.



A chart of your Unpaid Invoices broken down into 30, 60, 90 or 90+ days overdue. You may also click on each data point to see more information.



My Tasks

The My Tasks tab will show a quick overview of you and your team's open, in progress, overdue and completed tasks. 



Other Dashboard Views

The dashboard will display different sets of data depending on the type of account that is used to log in.

The SMS Dashboard is available in the Company Portal. The visibility of your third-party clients, however, is limited to their students only.



Trainers can also see the dashboard when they login to the SMS. The visibility of trainers is also limited to their students only.
