Overview
In the Trainer Portal of the Student Management System (SMS), trainers can easily access the Calendar feature to view scheduled classes and events. This tool provides a structured and organised overview of important dates, allowing trainers to efficiently plan and manage their sessions.

The Calendar displays schedules in different views (daily, weekly, or monthly), helping trainers track upcoming sessions and other key activities. Trainers can also click on specific events to see detailed information such as class times, locations, trainers, and other relevant information.

By utilising this feature, trainers can stay informed, avoid scheduling conflicts, and ensure smooth course delivery.

Step Tutorial
1. From the sidebar menu, go to Schedule.

2. The Schedule page displays filters that can be used to customise the events shown in the calendar. The available filters are:
  1. Has Enrolments – Choose if All, Yes, or No.
  2. Student – Enter a specific student associated with the event, if applicable.
  3. Program – Select the program related to the event, if applicable. Otherwise, choose All to view all events from all programs in the system.
  4. Program Instance – Select the program instance related to the event, if applicable. Otherwise, choose All to view events from all program instances in the system.
  5. Group – Enter a group associated with the event, if applicable.
  6. Location Specify the actual location of the event.
  7. Room – Select the room related to the event, if applicable. Otherwise, choose All to view events from all rooms available in the system.
  8. Company – Select the company related to the event, if applicable. Otherwise, choose All to view events from all companies available in the system.
  9. Show Inactive – Enable this option to include inactive events in the calendar.
  10. External Calendar Type – Choose between Calendar and Course List View, Calendar View, or Course List View.
  11. External Calendar Location Specify the location (calendar) of the event.
  12. iFrame Code – Click the icon to copy the iFrame code.
  13. Link – Click the icon to copy the link.
Once done, click Apply.

InfoNOTE: Only events associated with the trainer's account will be displayed.

3. The Calendar will display events that matches the selected filter(s). You can click the month, week, or day button in the upper right corner of the calendar to change the view.


4. Clicking an event will display its relevant information. From this modal, you can also Edit or Delete the event if necessary.

What is an Event Roll?
An Event Roll is a document or digital record used to track student attendance for a specific training session, class, or event associated with a course. It ensures accurate record-keeping, supports compliance with regulatory and audit requirements, and provides training organisations with better visibility of student participation. By maintaining reliable attendance data, it enables early identification of students at risk due to poor attendance, supports timely interventions, and contributes to streamlined administration and reporting processes.

To download and view an Event Roll, navigate to the specific event, edit the event, then click on the calendar icon in the Student List section to download the Event Roll.


Once downloaded, you can view the complete details of the event, including its participants.
How to add a note to an event?
To add a note to an event, simply edit the specific event, then go to the Group Note section and enter your notes. Once done, click the save icon.

How to view attached files to an event?
To view attached files, edit the event, then go to the Attachments section. From there, you can download or delete the uploaded documents. Unfortunately, uploading is not yet supported for trainers—you may need to contact your administrator to perform this action.
