How to Import Bulk Students in the SMS

OVERVIEW

Bulk Import allows your administrators to efficiently import multiple students into the Student Management System. Importing students allows you to add the student in the SMS ready for enrolment at a later date. This feature is a great way to increase productivity as it saves countless hours of data entry work. 

This tutorial will show you how to download the spreadsheet template to be used in the importing and enrolment of students. This tutorial will also cover how the system validates the information provided as well as how to fix possible errors in the import.

Step Tutorial

Before importing your list of students, you should have the appropriate format for the SMS to properly import your students. Please follow the steps below:

1. Log in to your SMS then go to Settings and click "Download" under Bulk Import Students Only Template. This will download a Microsoft Excel Worksheet file with the student fields (headers) to be populated with your students' data.



2. In your computer folders, go to Downloads and open the downloaded template. You will see two worksheets in the Excel file; Main and Reference List. 


3. Populate the Main worksheet with your students' data.


Use the dropdown selection available for certain fields in the spreadsheet to ensure that correct information is entered. These dropdowns are referenced from the Reference Worksheet. DO NOT EDIT ANY PART OF THE REFERENCE WORKSHEET to ensure data integrity. 



Once you've entered all your students' information, save it in your computer folder.

4. Go to Students and click Bulk Import Students Only


5. Type CONTINUE (all in Capslock) and click the Continue button to proceed.



6. Select your populated Excel file to import.


7. A prompt message will confirm that import was successful. Click OK.



IMPORTANT
  1. Date of Birth format is DD/MM/YYYY.
  2. A prompt message will appear for any UNSUCCESSFUL import. Click OK


  3. A .txt report will be automatically sent and downloaded to your computer to show any possible errors in your uploaded file.



    1. The Student Password is not included in the bulk import andfeature. Students will have to reset their password once they login to the SMS. See Related Tutorial: SMS Password Reset
