Adding Custom SMS Fields to Show on Students Details and Enrolments

OVERVIEW

Custom fields allow you to capture specific information in your SMS that ma not be included in the pre-defined forms. Using custom fields enable you to gather and store information that is unique to your organisation’s needs, allowing you to build comprehensive student profiles to improve your data collection and analysis. Create customised questions to get better insights on your students using different field types such as alphanumeric fields, dropdowns, checkboxes and even file upload to gather data you can use to provide specialised support, streamline administrative processes and improve student engagement.

In this tutorial, we will show users how to add custom SMS fields that will appear in the Students tab, on the enrolment wizard and the external enrolment form.

1. In Templates, go to Custom Fields



2. Navigate through Categories and click New to add a category where the custom fields would fall under. 



3. Enter a Name for your Category. 
4. Enter a Section Title.  This is the name that will appear on the Student tab, on the  enrolment wizard and/or on the enrolment form.
5. Click Save .

6. Create your Custom Dropdowns if your custom fields would use dropdowns for the answers. To do that, go to Custom Dropdowns and click New.



7. Enter a Custom Dropdown Name .
8. Enter each Custom Value. Click Add Custom Value as needed.
9. Click Save to add your custom dropdown.

10. Go to Custom Fields  and click New to add all desired custom fields.



11. Enter a Custom Field Name . This is the actual field name that will be shown to users and students. 
12. Select the Entity where you would like to display your Custom Fields. Currently, there are two entities available. The first one is the Student which refers to the Student tab and the second is the Enrolment which is the enrolment wizard in the SMS.
13. Select the Category where this custom field would fall under.
14. Select the Custom Field Type that is most applicable. There are various custom field types available: Numberic , Alphanumeric , Checkbox , Toggle, Drop Down , File Upload and Multi Select Drop Down In our example below, the question is answerable by a Yes or No so we will use a Toggle for the field type.
15. Toggle to Show on All. When this is enabled, the custom field will appear on the Student tab and on the enrolment wizard.
16. Toggle to Show on All External Enrolment Form . When enabled, this custom field will also appear on all the courses you offered via the external enrolment form.
17. Click Save to add this custom field.

18. You can add as many Custom Fields as needed. See sample below. 



Notice that the Required field will appear for custom types other than the checkbox and the toggle.



19. After adding all your desired custom fields, you can now check the fields in the Students tab, on the enrolment wizard and/or the external enrolment form.








IMPORTANT
  1. If the custom fields are set to Show on All, Show on Enrolment Form and Required in the Templates tab, they are automatically enabled in all your Program Instances regardless of the entity type.
  2. Custom Fields can be set at a program Instance level by unticking the Show on All and Show on Enrolment Form in the Templates tab. Under the program instance Workflows, you can start selecting the custom fields you want to enable. When Show on All is selected, for a custom field categorised under the Student entity, it will show on the Student Details and on the enrolment wizard.
