How to Record Student Attendance in the SMS

OVERVIEW


This tutorial will show users how trainers can mark student attendance throughout their training sessions. This functionality in the SMS provides an efficient way to track student attendance ensuring that they have completed their training.

IMPORTANT
  1. An event must be plotted in order to record your student attendance. 
  2. Scheduled Hours must be set which will serve as the total hours for the event, less any breaks.



Step Tutorial

1.In the SMS, go to Schedule



2. Navigate through the Schedule calendar and click on the actual training schedule.



3. Click Edit.



4. Scroll down to to select and modify the attendance record of the specific student from your list of enrolled students.
5. To record your student attendance during the training, click Yes under the Present column.
Note: This is set to Yes by default.
6. Choose from the dropdown menu to indicate if the sudent attended the training, was absent, or select "Partial" if they were partially present.

7. Click Update then click OK.



8. If tagged as Partial during the training, you can specify the number of hours and the reason they were absent.
To do this, click the expand icon and click New.
9. Set the number of hours under Time Not Present and the Reason they missed these hours.
10. Click the checkmark icon to save changes.

When generating an Attendance report in the SMS, the Scheduled Hours and Time Not Present are now available as Report fields.



Also, note that Attendance charts in the SMS Dashboards will also calculate based on partial attendance.
