How to Set Up an Automatic Reminder SMS Message

OVERVIEW

This tutorial will show users how to automate a reminder Short Message Service (SMS) message. With Automation, sending of SMS messages at a predetermined period is now possible. SMS automation allows users to define a set of conditions that once met, the system will send a predefined SMS message to a specific set of recipients. In this tutorial, we will show how you can select your recipients, set the conditions and set the frequency of your SMS automation.

IMPORTANT
  1. An SMS Template must be created prior to setting up an automated SMS.

Step Tutorial

1. In the SMS site, go to Automation and click Add.



2. Enter a Title for your automated SMS.
3. Set the automation to Active to make it available for use. 
4. Enter a Description for your automation. You may use this section to note the conditions to be used and when the SMS will send.
5. Select the SMS feature you would automate from the Action drop-down menu. Select SMS to automate SMS messages.
6. Choose the SMS Template that you prepared for this automation.
7. Select who you want to send the SMS to in the Recipient Type field. This could be Student, Student (Company-related), Org Unit, Trainer, or Individual Staff Member.

8. Click Add Date Trigger. This will set when the automation runs.
9. Select a field that will best suit your requirement. For our example, we will use Unit Proposed End Date as basis of the date trigger.
10.  Select a period. This could be Days, Weeks or Months. In our example, we will set it to Days.
11. Input a Number based on Period selected in the last step.  We will set it to 1 day as an example.
12 Select when will the automation run.  Either Before or After the period previously selected. Let's use Before for our example.

Summary: Our example will run the automation 1 day before the unit proposed Start date.

13. Click Add Condition Trigger.  A Condition Trigger validates a s et of requirements in the SMS for the automation to run. If the requirements are not met, the automation will not run.
14. Select a Field.  There are several fields for you to choose from, please select one that is suited for your condition. The Operators and Values will also differ depending on the Field selected.
15. Select an Operator An operator is used to determine the relationship of the field and its value. 
16. Select a Value for your selected field. You may add more than one value if needed. The condition used in this tutorial will apply to students with an enrolment status of 'Enrolled' and 'Course Commenced'. 
17.  When you add another Condition Trigger, you may choose AND if you want BOTH conditions to be met for the automation to run. Otherwise, use OR if you want at least ONE of the conditions to be met for the automation to run.
18. Select another Field that applies to your use case.
19.  Select the appropriate Operator.
20.  Select the appropriate Value/s. Condition 2's values will apply to students under the group 'Face to Face Townsville'.

21. As an example, let's use OR. 
22. Select Unit Code for this example. 
23. Select Is Any Of for the operator for this example.
24. Select the unit codes CHCDIV001 and AHCAGB512 as the Values for this example. This condition will select students that are under the selected units.

26. Scroll up and save your automated SMS.



SUMMARY: his sample automation is set to send an SMS message to students with an enrolment status of 'enrolled' or 'course commenced' under the 'Face to Face Townsville Group' or enrolled to the units CHCDIV001 or AHCAGB512. It will send out the SMS template 'Schedule Change' one (1) day before the unit proposed start date.
