How to Create a Training Provider Partner in Companies

Overview

Training provider partners is a Company entity that collaborates with training organisations or government agency to deliver training. 

The role of training provider partners is crucial in facilitating workforce development, improving skills and equipping students with the necessary knowledge  and qualifications. 

This tutorial will show you how to set up a Company with Training provider type and the different functions in the SMS that your Training provider partner can access in their own SMS portal. 

Note: Creating a Training Provider Partner Company is available in Enhanced Companies under SMS Maximise plans. If you would like to use this functionality, please contact our Support team. 


Step Tutorial


Step 1. Go to Companies > Click Add. In the Company Type, select "Training Provider Partner".

When a Training Provider Partner company is created, this allows the creation of a new Company Contact type called "Trainer". 



Step 2. Complete all the fields in the General Information section. 

Step 3. In the Company Permissions section, enable the permissions for this Company. Refer to the information below for description of the settings.

Show All Programs on Enrolment FormWhen toggled to "YES" all programs are visible and shown in the Enrolment form. When turned off, only selected programs will be visible. 
Allow EnrolmentsWhen toggled to "YES", Company Contacts can enrol students in the programs where a Trainer Contact type is added as a Trainer for that Program
Allow Adding of ContactsWhen toggled to "YES", Company can add new Contacts and provide portal access to users they have specified. 
Allow Company to Edit their DetailsWhen toggled to "YES", Company can edit their information in the Details tab of their Company. 
Allow Email StudentsWhen toggled to "YES", Company contact can email students This field is only available when the Companies Extended feature is enabled.

Contacts can only send emails to students that are associated with their Company. 
Allow Add and Edit Groups/SchedulesWhen toggled to "YES", Company contacts can add or edit group/schedulesThis field is only available when the Companies Extended feature is enabled and the Company type is set to Training Provider Partner. 

Step 4. Create Company Contacts. Creating these contacts allows them to login to the Company portal. 

There are four (4) Contact Types available for Training Provider Partner Company: 
  1. Key
  2. Standard 
  3. Finance
  4. Trainer
The first three Contact types has Company portal access similar to a System Admin. Trainer Contact type has a portal access similar to a System Trainer. Trainer contact type is only available when the Company type is set to "Training Provider Partner".  

Step 5. Similar to how other Companies can do in the SMS, Training Provider Partner can also: 

  1. Add related companies. These Companies will be considered child company of the Training Provider Partner and will have the same access permission as they do. Parent companies can view information of their child Companies. 
  2. Add Documents. 
  3. Update or Add new Trainer Matrix.
