OVERVIEW
In this tutorial, we will show you how to create and apply vouchers to extend discounts or promotional rates to your students to encourage enrolment and increase student satisfaction.
In the SMS, users can create vouchers that can be distributed to students, or use additional functionality such as auto-apply of vouchers. allowing you the flexibility in providing discounts for training fees.
STEP TUTORIAL
Creating a Voucher in the SMS
Step 1. To create a voucher, go to Finance > Vouchers. Click New.
Step 2. Complete the information required in the Voucher modal.
- Name - Enter a descriptive name for your Vouchers.
- Code - Enter a code for your Voucher. This is the code entered in the voucher field in the payment stage.
- Amount: Enter the amount of discount.
- $ or % - Select if the voucher will discount with a fixed rate amount ($) or a percentage (%) amount.
- Expiry Date - indicate an expiry date for your vouchers, vouchers will only be valid or accepted until the expiry data. This field may be left blank if you do not want to impose an expiry to a voucher.
- Domain Specific - When an email domain is entered, only students that uses that specific domain in their enrolment forms will be qualified to use the Voucher (e.g. if the entered domain is xyz.com, only students with the @xyz.com email address will be able to use the voucher). This field may be left blank if the voucher can be used by anyone with different email domains.
- Program - Select the program/s eligible for a voucher to be applied. This field may be left blank if you do not want to limit your vouchers to certain program/s.
Voucher codes can be shared in your newsletters, websites or other marketing collaterals to help your students get extra discounts on your courses.
Applying a Voucher during Payments
During enrolment, when students go through the payment stage, a field to enter and redeem vouchers is available.
Step 1. To use a voucher, enter the Voucher code in the field after the Course cost and before the payment confirmation.
Note: Voucher codes are case-sensitive and must be an exact match.
Step 2. Click Redeem to apply the Voucher.
Step 3. Confirm payment details and click Pay/Pay Later.
Auto Apply Vouchers based on Email Domain
There may be instances when Vouchers are specific to a subset of your students such as in cases where you have partnered with their employers to provide training at a discounted price.
In such scenarios, instead of providing voucher codes for them to use, users can set up the vouchers with an email domain. When these is set up, any student enrolling in the course using an email address with the same email domain as the one set for the voucher, the system will automatically apply a voucher.
During the payment stage in the Enrolment form, the SMS will check if the following conditions are true:
- Domain Specific: Email address domain match
- Expiry Date: Not expired
- Student is enrolling in one of the programs listed in the voucher if any.
If the above conditions are met, the voucher will automatically be added in the Voucher field and fees calculated with the discount.
This makes it easier to apply vouchers for specific company domains.
Using domain specific will auto-apply vouchers. Be careful when adding a generic or common email domain.
Limit Voucher Use based on Programs
If you would like to only allow the use of your Vouchers for certain programs only, the Program field selection allows you to select enrolment to which program/s is eligible for a voucher to be applied. This allows you flexibility and control in your voucher conditions. If a student enters a voucher code for enrolment in a program that is not included in the list, the Voucher will not be applicable for use.
