Overview
Funded contracts play a key role in verifying and tracking student eligibility for state funding, ensuring that only qualified learners receive subsidies. They also help providers manage and confirm the specific entitlements available under various government-funded programs. By streamlining the funding setup within the Student Management System (SMS), organisations can significantly reduce administrative workload, minimise errors, and improve the accuracy and timeliness of subsidy processing.

In this tutorial, we will guide you through the step-by-step process of adding a funded contract in the SMS for the state of South Australia (SA). This will help you correctly configure funding details so that student enrolments are assessed and processed in line with SA funding requirements.

Step Tutorial

InfoNOTE: The Contracts module must be enabled in your SMS before you can access this page. Please contact us to enable this feature, if eligible.

1. From the sidebar menu, go to Finance > Contracts > then Contracts subtab.

2. In the Contracts page, click the New button.

This will open the New Contract modal. Fill out the following fields:
  1. Contract ID – Enter the contract id.
  2. Active - Toggle this button to enable or hide your contract template.
  3. Name – Enter the contract name.
  4. Description – Enter a brief description for your contract.
  5. State – Select SA from the dropdown.
  6. Populate Contract ID to Purchasing Contract Identifier – Choose whether to populate the contract ID into the purchasing contract identifier.
  7. Commencement Date – Set a start date.
  8. End Date – Set an end date.
  9. Funding Cap Amount – Enter the funding cap amount.
  10. Schedules – Select a schedule.
  11. Funding Source – Select your funding source.
  12. Loadings - Select the applicable loadings. You may choose one or more options. (These become available once a state is selected.)
Once done, click the Save button.

Why don't I see the Contracts module in my SMS?
The Contracts module must be enabled. If your organisation is eligible and the feature is part of your plan, please contact our Support team so we can activate it for you.
Can I edit a funded contract after it has been created?
Yes. You can open the contract from the Contracts page and update its details by clicking the Action button and selecting Edit.
