In this tutorial, you will learn how to create a Trainer Matrix, a valuable tool for tracking and managing evidence to support vocational competencies, current industry skills, VET knowledge and skills, and professional development. This guide will assist trainers and Student Management System (SMS) users in ensuring all necessary documentation is organised and accessible for compliance and performance improvement.

- Go to Compliance.
- Click the Trainer Matrix Tab.
- Click the Plus "+" icon to open a New Trainer Matrix window.
Refer to the image below for steps 1 to 3

- Select a Trainer from the dropdown list
- Added Date - Indicates the date when the trainer’s qualifications or competency evidence was first recorded in the system.
- Add the Program Code where the trainer is qualified to train
- Add the Units where the trainer is qualified to train
- Evidence Description You may list your Vocational Experience in this text box
- Add the Expiry Date. This date indicates until when the Trainer is qualified to teach the Program and Unit(s) above
- Approved? - Select either "Yes", "Awaiting Review", or "Rejected"
- Approved By? - Identify the authorised staff member who has reviewed and approved the trainer’s evidence or qualification entry.
- Approved Date and Time - Indicate the exact date and time when the approval of the entry was finalised, providing an audit trail for compliance purposes.
- Indicate the Status of the Unit based on https://training.gov.au/
- Select the Evidence Type. This describes how the trainer is qualified to train the related Unit(s) above
- Attach or upload documents that reinforces your qualified knowledge and skills
- Once all of the above is done, click Save
