Overview

In this tutorial, you will learn how to create a Trainer Matrix, a valuable tool for tracking and managing evidence to support vocational competencies, current industry skills, VET knowledge and skills, and professional development. This guide will assist trainers and Student Management System (SMS) users in ensuring all necessary documentation is organised and accessible for compliance and performance improvement.

IMPORTANT: System Setup For Trainer Matrix
Before you use the Trainer Matrix feature outlined in this tutorial, you will need to add both the Certificate IV and Diploma of Training and Assessment (plus any other VET-related qualifications your staff hold) to Programs and Units in your system. This will ensure that trainers can map their training-related evidence of qualifications, competencies, industry engagement, and professional development against their training-related qualifications in their Trainer Matrix. 

Also, make sure to familiarise yourself with the Trainer's role in the SMS. You may refer to this tutorial on How to add a user in the SMS, which explains the capabilities of the Trainer user type within the system.

NotesStep Tutorial

  1. Go to Compliance
  2. Click the Trainer Matrix Tab
  3. Click New

    Refer to the image below for steps 1 to 3


  4. Select a Trainer
  5. Add the Program Code where the trainer is qualified to train
  6. Add the Units where the trainer is qualified to train
  7. Add the Expiry Date. This date indicates until when the Trainer is qualified to teach the Program and Unit(s) above
  8. Select the Evidence Type. This describes how the trainer is qualified to train the related Unit(s) above
  9. You may list your Vocational Experience in this text box
  10. Upload files or documents that reinforces your qualified knowledge and skills
  11. Once all of the above is done, click Save
