How to Relate a Task to an Enrolment

How to Relate a Task to an Enrolment

Idea
Overview
Tasks in a Student Management System (SMS) are used to track, assign, and manage actions related to students, enrolments, or administrative processes. Think of them as digital reminders or to-do items that help ensure important actions are completed on time and nothing gets overlooked.

In this tutorial, you'll learn how to create a task that is specifically linked to a student’s enrolment. By following these steps, you’ll streamline your workflow and make it easier for assigned users to clearly identify which enrolment the task is associated with.

InfoNOTE: You need Admin access before you can perform this action.

Notes
Step Tutorial
1. From the sidebar menu, go to Students. Search and select a student from the list. Then, navigate to Enrolments tab.

2. In the Student Enrolments table, select the specific enrolment to which you want to relate the task by clicking the Action button then Add Task.

A pop-up window will appear.

3. Fill in the following fields in the Task window.

  1. Template  If you prefer to use an existing task template, select one from the drop-down menu—the details will be automatically populated. Otherwise, leave this field blank and complete the remaining fields. Check out this tutorial on How to Create Task Templates
  2. Title  Enter a title for the task.
  3. Description – Enter a short description of the task.
  4. Checklist  If you would like to use a checklist for the task, select one from the Checklist drop-down menu. This is optional. To learn how checklists are created, visit this tutorial: How to Create Checklists
  5. Due Date – Set a due date for the task to specify when it must be completed. This ensures clarity and accountability regarding the task's deadline.
  6. Assigning Administration – Select a user or users responsible for completing the task.
If it is a specific user within the organisation, select from the Assign Users drop-down list. Otherwise, you can use the Assign Organisational Units to assign an organisational unit to fulfill the task related to the selected group.
  1. All Individuals Must Complete – Enable this field if the task is assigned to multiple users and requires all of them to complete it.
Once done, click Add.

InfoNOTE: Once a task related to a specific enrolment has been added, you can view it either in the student's Task section or in the Task Admin by using the Search Tasks field.

FAQs:
What does it mean to relate a task to an enrolment?
Relating a task to an enrolment means linking that task to a specific enrolment a student is enrolled in. This ensures the task is directly associated with that enrolment and appears in the relevant student records for easy tracking and follow-up.
Why should I relate a task to a specific enrolment instead of the student profile?
Relating tasks to enrolments provides clearer context—especially when students are enrolled in multiple courses. It helps users to understand exactly which enrolment the task refers to, making reporting and task management more accurate.
Can I edit or update a task after it has been linked to an enrolment?
Yes, you can edit the task details—such as the title, description, due date, assigned user, or checklist—even after it has been linked to an enrolment. To update the task, click the Action button, then select Edit. Make sure to click the Update button to save your changes.
