This tutorial provides a quick guide on how to view the list of units a student is enrolled in within the Student Management System (SMS). It is particularly useful for administrative users who need quick and reliable access to a student’s records for purposes such as enrolment verification, tracking, reporting, etc. By understanding how to efficiently access and interpret this information, admin can ensure accurate record-keeping, maintain compliance, and provide timely support to students.
1. From the sidebar menu, go to Students, then search for and select a student. Click on the Units tab.
2. In the Student Units table, you will be able to view the following information: unit code, unit name, unit type, program code, trainer (s), funding source national, proposed start and end, actual start and end, and outcome.
By default, the table will display all the units the student is enrolled in.
To filter the units by enrolment, click the All Enrolments dropdown field and select the specific enrolment for which you wish to view the relevant units.
To search for a specific unit, you can use the Search Student Units fields.
Additionally, you can use the Export button to generate an Excel file containing the data shown in the Units tab.

This may occur if the student has not yet been enrolled in any units or if the selected enrolment filter does not correspond to any units.
Make sure to verify that the student's enrolment has been properly recorded in the system.
The Outcome column shows the result or completion status of each unit, such as Competency Achieved/Pass, Competency Not Achieved/Fail, Withdrawn/Discontinued, and others. This information helps track the student’s progress across their enrolled units.
Once a student completes an activity in the course, it typically takes a few minutes for the completion status to update in the LMS.
After this update, the unit’s Actual Start date in the SMS is synced based on the first completion of any required activity in the connected LMS course.
The course activity completion date in the LMS is triggered when the student initially submits their attempt for the activity. In this context, the equivalent unit outcome would be Continuing Activity.
If the student completes the entire LMS course, the completion is synced to the unit record in the SMS by default within approximately two (2) hours.
