Creating a Schedule for Contracts in the SMS (TAS)

Overview

To create Contracts for Funded programs in the Student Management System, a Schedule needs to be set up first. 

The schedule is used to define which  Unit of Competencies  outcomes codes are provided funding by the state as well as payment schedule and concessions.

Step Tutorial

To create a Contract in the SMS, first create a Schedule. The Schedule is used to define the Outcomes that are paid by the state as well as the payment rules and the concessions. You can create as many Schedules for each contract as needed.
 



Step 1. To create schedule, click Finance.




Step 2. Click Contracts.




Step 3. Click Schedules


 

Step 4. Click New.




Step 6. Enter Purchasing Schedule ID*
Note: This information is found in your contract document with the State training authority.


 

Step 7. Enter a Name* for your Schedule


 

Step 8. Select the  Funding Payment Model from the dropdown field. There are two options: Per Program or Per Hour.

Tasmania computes funding based on a Per hour model.



 
Step 9. Select Per Hour



 
Step 10. Once the Per Hour model is selected, it will show a P ayment Hour Model dropdown field.



 
Step 11. Select the payment hour model to be used. There are three options: Nominal Hours, Scheduled Hours and Funding Hours.

T asmania uses Nominal Hours to compute for funding. Select Nominal Hours

 


Step 12. Select TAS in the State dropdown field.



 
Step 13. Select the applicable Concessions for this Schedule. You can select multiple concessions.


 

Step 14. Make sure the Active toggle is turned on to use this schedule in your contracts. 


 

Step 15 . Click Continue.


 

Step 16. Create your Outcome Payment rule from this section or select one from the Outcome Payment Rule Template dropdown box if you already have one created. All the Outcome Payment Rule templates created for this state will appear here. When a template is selected, it will automatically fill in the details based on the selected template. 


 

Step 17. Once you have selected or created your Outcome Payment rule, Click Continue. 


 

Step 18. Create a Payment Schedule Rule or Select a Payment Schedule Rule Template from the dropdown. All Payment Schedule Rule template created for this state will appear here. Select the one to use.

 


Step 19. Check and confirm if the template information is correct and click Submit.



 
Step 20. Click OK to confirm action.




That's it. You've created your Schedule for Contracts in the SMS. You can check your created Schedule and it's details in the Schedule data table
