In the Student Management System (SMS), administrators can view a complete list of all students who are part of a specific group.
This feature allows admins to efficiently manage group members, access individual student details, and perform group-specific actions such as sending emails and moving them to a different group.
In this tutorial, we’ll guide you through the steps to view students in a group, along with tips on how to make the most of the available features in the student list.
1. From the sidebar menu, go to Schedule > Student Groups / Intakes tab. Then, search or select the group from the list and lick on the Students sub-tab.
2. By default, the Students table lists students with pre-selected values: Enrolment Status and Ongoing as the Enrolment Status Type.
- Enrolment Status – This is a multi-select filter that shows all enrolment statuses, including custom ones. However, the system will only show the enrolment statuses related to VSL if the related Program Instance of the Group has VSL enabled.
- Enrolment Status Type – This is a single dropdown containing the different types (e.g., Pre-Enrolment, Ongoing, etc.). Users may choose to leave this field blank. When a type is selected, the system will:
- Automatically clear the Enrolment Status dropdown,
- Populate it with all enrolment statuses under the selected type,
- Filter the data table accordingly.
By default, when this page is loaded, the Type is set to Ongoing, and all related ongoing statuses are automatically populated in the Enrolment Status filter.
To clear the filters, click the X icon next to each filter field.
To adjust the number of results per page, click on the Results per page dropdown and select from: 10, 20, 30, 40, 50, or All.
To search for a specific student, use the Search Student Attendance Group field.
To sort the list, click on any table header (Student, Status, or USI status).
Selecting a student by ticking the checkbox next to their name will make the following buttons appear:
- Email Student (s) - Send an email to the selected student. See tutorial: How to Email Students in a Group
- Print Enrolment - Opens the print page for the selected student’s enrolment.
- View Student (s) - Opens the selected student's profile in a new tab.
- Move Group - Allows you to move selected student/s to a different group. See tutorial: How to Move Bulk Students to a Different Group
And that’s how to view students in a group in the SMS!
Congratulations on completing this tutorial. We hope this has been helpful to you and your organisation. For any questions or concerns regarding this function, please reach out to the contact support via email.
FAQs
Yes, you can perform bulk actions for the following: Email Student(s) and Move Group.
However, View Student(s) and Print Enrolment must be done individually for each student.
If the Enrolment Status Type field is left blank, the system will not automatically filter the Enrolment Status dropdown. You'll need to manually select from the full list of available statuses.
